Role Purpose
The Internal Communications Officer will enhance, coordinate, and deliver high-quality internal communication across IPPF’s Secretariat (Regional offices and London Office) and the Federation (the Secretariat and global network of Member Associations). The role ensures staff and Members receive accurate, accessible, and timely information, while cultivating engagement, transparency, and alignment with IPPF’s strategic priorities.
 
This is a highly collaborative role suited to a skilled communicator who can translate complex information into clear messages, manage multiple channels, and strengthen two-way communication across diverse regions and time zone
Deliverables
Oversight and Coordination
  • Maintain (and promote) an internal communications calendar aligned to strategic priorities, and ensuring a streamlined approach to virtual training, virtual events and comms campaigns.
  • Coordinate automated communication request submissions designed to streamline Federation-wide internal communications.
  • Develop an annual communications plan for the Directorate Leadership Team (DLT), ensuring preparing talking points, message guidance, and structured updates for senior leaders to maximize visibility.
  • Establish routines and communication processes that improve alignment, consistency and engagement
Support Internal Announcements and Messaging
  • Ensure timely posting of news, updates, events, opportunities, and key documents.
  • Manage MA and Secretariat-wide announcements, updates and newsletter in line with the Internal Comms Toolkit.
  • Using the branded templates, develop and disseminate clear, inclusive internal communications to staff and MAs, though:
  • Announcements, spotlight features, updates, and shared resources through platforms such as Focal Point (Secretariat-wide intranet) and MA Forum. 
  • Federation-wide email campaigns using Mailchimp
  • In coordination with Media and Voice colleagues across the Federation, create and publish a quarterly e-newsletter that focuses on the impact of MAs, regionally and globally.
  • Ensure all communications reflect and reinforce IPPF’s strategic direction and values.
Internal Meetings and Webinars
  • Ensure timely and coordinated scheduling of virtual events and training
  • Coordinate and support internal events in line with the Internal Comms Playbook.
  • Coordinate scheduling secretariat-wide meetings including bi-monthly townhalls and internal briefings.
  • Coordinate scheduling of Federation-wide trainings, webinars and virtual events to maximise alignment and synergy, and minimise duplication and overwhelm.
  • Support facilitators to develop agendas, manage logistics, meet interpretation needs, and oversee post-event communications.
  • Produce concise summaries, share recordings, and ensure consistent follow-up.
Member Association Engagement
  • Working with colleagues including the Architects of Cooperation, the Performance Learning and Impact Team and London/Regional Communications teams, support two-way communication between the Secretariat and Member Associations.
  • Maintain, enhance and socialize the purpose and use of platforms for internal communication, knowledge sharing and engagement  such as MA Forum and MA Connect.Manage the relationship with the vendor responsible for MA Forum and MA Connect, maintaining a tracking system and weekly maintenance meetings.
Internal Platforms Management and Reporting
  • Update and maintain internal platforms such as IPPF’s Intranet “Focal Point”, MA Forum, MA Connect.
  • Train and support identified focal points (in offices and departments) to maintain their sections of Focal Point and MA Forum.
  • Collaborate with external partners and internal teams on digital platform improvements, including SharePoint and IPPF Academy.
  • Work with IT to maintain accurate Secretariat and MA (mail chimp) mailing lists.
  • Lead an editorial approach to internal platforms, supported by analytics and staff feedback.
  • Manage and monitor analytics dashboard in PowerBI to ensure user engagement is maximised.
  • Track and analyse communications performance including open and click-through rates, producing quarterly engagement dashboards.
Essential Skills
  • Demonstrable experience in internal communications, staff engagement, or organisational communications.
  • Experience working in multicultural, international, or membership-based organisations.
  • Experience coordinating internal events and supporting organisational leadership communications 
  • Comfortable working with senior executive and experience with managing multiple priorities across a complex organisation.
  • Strong editorial and writing skills with an ability to communicate clearly and concisely.
  • Proven ability to manage digital platforms (especially WordPress, SharePoint, Mailchimp), graphic design, and video editing. 
  • Excellent written and verbal communication skills, with the ability to work across cultures, languages, and time zones.
  • Analytical thinking with the ability to use engagement data for improvements.
  • Strong organisational skills with the ability to balance competing priorities.
  • Ability to handle sensitive information with discretion and professionalism.
  • A proactive, solution-focused approach with attention to detail.
  • Collaborative and open style of working with ability and willingness to work in a diverse and multicultural environment that role models respect of all cultures, inclusion and no discrimination

  • Supportive of people’s rights regardless of sexuality or gender identity/expression and supportive of worker’s rights and access to health care in sex work.
Desirable Skills
  • Degree, preferably in marketing/communications field.
  • Experience in the NGO or international development sector.
  • Experience with multilingual communication workflows.
  • Working knowledge of French, Spanish and Arabic. The four official languages at IPPF.
  • Familiarity with managing technical vendors
